Job Description

 

The Senior Commercial Property Manager (“SPM”) is independently responsible for the daily operations and leadership of a larger and / or more complex commercial real estate portfolio that consists of one or more of the following property types:  office, medical, flex space, retail, and industrial. The SPM, at the discretion of the regional Managing Director, will provide staff leadership, which may include the direct oversight / management of other Property Managers or Assistant Property Managers.  This position will ensure the long-term occupancy of the properties by providing the highest possible level of customer service to tenants and maintaining the appearance of the assigned properties to company standards.

The SPM is also responsible for achieving the highest possible net operating income for his / her properties (as well as those managed by direct reports) without compromising the quality of the property's appearance or level of customer service to tenants. The SPM will manage tenant relationships, property operations and costs, capital expenditures and the tenant improvement process for assigned properties. The SPM will assist leasing reps and brokers showing space to prospective tenants and will provide direction and training to assigned Property Managers / Assistant Property Managers, administrative and technical personnel as necessary to meet all Commonwealth Commercial Partners standards.  The SPM will assist and proactively collaborate with other CCP team members as required and will successfully complete all assigned projects as directed and required from time-to-time.

 

Duties include but are not limited to the following:

 

  • Budgets / Financial Control and Management: Develop and manage the annual budgets for assigned properties and provide direction and oversight of direct report Property Managers / Assistant Property Managers to ensure that budgets are accurate and completed in a timely manner.  Ensure that properties operate within budget and achieve / exceed targeted NOI.  Proactively strive to increase revenue, control costs, and maximize property leasability. Approve and code all payable invoices.  Review monthly and quarterly operating reports and provide detailed variance explanations.  Review quarterly trial balances to ensure proper allocation of costs.  Manage collection of account receivables and tenant default process and provide active oversight (if applicable) of direct report A/R activity. Manage property’s cash flow relative to income and expenses and provide active guidance in the event operating cash is insufficient or projected to be insufficient by forecasting property cash positions at least twelve months.  Monitor real estate taxes and evaluate possible appeals.  Review annual CAM reconciliations and resolve discrepancies with Lease Administration / Property Accountants before statements are sent to Tenants.  Recommend and if approved, manage actions that will enhance property valuation.  Analyze performance deficiencies and assist Asset Management / Client in developing projections and workout scenarios for troubled properties.
  • Property Inspection and Maintenance:  Regularly inspect and evaluate all building components, equipment, systems and grounds to ensure that the appearance and operation of the properties meet CCP standards.  Coordinate routine technical service/response, 3rd party vendors and emergency response activities.  Proactively develop, enhance and maintain preventive maintenance programs. Actively participate in the capital planning process. Conduct comprehensive quarterly reviews of direct report properties, identify deficiencies, create task lists with accompanying deadlines to remedy deficiencies, and mentor staff to improve property appearance and operations.
  • Customer Service/Tenant Interface: Build tenant loyalty by developing and executing an annual Customer Service Plan. Ensure all CCP customers know you can assist them in their real estate needs. Engage in regular and positive interaction with building tenants through frequent tenant visits in accordance with the company tenant retention programs. Strive to maintain a positive, productive and professional relationship with tenants.   Manage the move-in (move-out) process to CCP’s standards and tenant’s satisfaction. Complete / return documents required by lease administration and coordinate all required activities with the Lease Administrator.  Assist with tenant renewals, expansions and contractions including coordination of move-outs. 
  • Work Orders:  Fully utilize the work order system. Ensure tenant service calls are handled to 100% customer satisfaction.  Monitor staff compliance and where applicable implement processes to improve customer satisfaction.  
  • Contracts:  Negotiate contracts with outside vendors to provide services as required.  Ensure that contractor work is performed timely and appropriately. Meet CCP requirements regarding bidding and insurance levels.   Ensure the portfolio you are assigned meets/exceeds all CCP internal audit standards. Where applicable work with Managing Director / SVP-Director of Property Management or independently to secure regional / national vendor contracts that provide economies of scale and a superior product.
  • Tenant Improvements:  Manage TI process as assigned/directed, following all appropriate protocols.  Provide required project status updates and participate in tenant improvement reviews.  Coordinate progress meetings and/or project planning to stay within schedules and on budget.   Manage job cost/tracking sheets, punch lists and close out projects.  Ensure that direct report Property Managers / Assistant Property Managers are complying with Tenant Improvement protocols. 
  • Activity and Status Reports: In conjunction with accounting, lease administration and asset management, prepare and deliver accurate, timely and complete financial reports pursuant to CCP standards and PMA requirements. Forecasts management plans and prepares weekly updates and monthly performance reports, providing all necessary detail and variance explanations including property activities and tenant relations. Ensure that direct reports are complying with reporting requirements.
  • Risk Management:  Serve as the Building Emergency Director, including the preparation, implementation, and maintenance of building-specific emergency preparedness processes.  Lead effort to minimize exposure and losses.  Make sure properties are compliant with all building and fire codes. Obtain certificates of insurance and waivers from tenants, contractors, suppliers and other third-parties and assure adherence to safety guidelines pertinent to property visitors, tenants and employees.  Direct employee participation in company workplace illness and injury prevention programs and assure adherence to accident avoidance initiatives.  Provide post-accident follow-up including reporting, investigation and liaison for insurance, legal and incident prevention purposes.
  • Supervision: Provide technical guidance and mentorship to Property Managers / Assistant Property Managers. Review and approve staff time sheets and monitor and control maintenance / tech staff overtime. Apply an understanding of best practices to hire, train and supervise maintenance technicians, property management personnel and any other reporting employees.
  • Miscellaneous: Coordinate and prepare information needed for Landlord/Tenant Court and appear in Court as Owner’s representative. Attend public hearings and meet with public officials as needed. Any ad hoc projects as needed by senior management.

Qualifications / Education / Skills

  • Bachelor’s Degree
  • 6-8+ years of commercial property management experience with a demonstrated track record of success.
  • Direct experience managing the tenant improvement process.
  • Staff management experience is required, particularly related to managing engineers / techs, third-party vendors, and contractors. Experience managing other property managers is a plus.
  • Strong skills in budget preparation and reporting, finance, leasing, operations, underwriting, portfolio management, cash flow projections and strategic planning.
  • Self-starter with strong time management, organizational and problem-solving skills. Ability to think quickly on one’s feet to effectively solve unanticipated issues.
  • Well-developed analytical, interpersonal and communication skills.
  • Experience successfully creating and enhancing value at all phases of a property's life cycle.
  • Ability to read and interpret lease documents, contracts and other legal documentation.
  • Strong desire to succeed in an entrepreneurial environment.
  • Must be able to work in a fast-paced, team-oriented environment with multiple deadlines, and adapt readily to changing priorities.
  • Skilled at delivering superior customer service to tenants and clients.
  • Computer proficiency with strong knowledge of Outlook, Word, Excel, and the ability to learn new business specific software programs as needed; Yardi experience a plus.
  • Ability to effectively present information to top management, public groups and/or business owners and tenant groups.
  • Ability to respond effectively and timely to sensitive inquiries or complaints.
  • Valid drivers’ license and personal transportation required.
  • State real estate license a plus.
  • CPM, CFM, CSM, or RPA designation a plus.
  • Project Management experience a plus: Working knowledge of construction processes and AIA contracts, RFI’s, change orders, invoice processing, drawings, specifications and terminology.
