LivCor is a real estate asset management firm headquartered in Chicago, Illinois. Formed in 2013, LivCor specializes in hands-on asset management of multi-family assets throughout the U.S.  In collaboration with its operating partners, LivCor oversees the management of its assets furthering a mission of maximizing return for investors while offering best in class service to residents.

The project coordinator is a key position that partners directly with the SVP Operations and operations team on a diverse range of projects. The Project Coordinator is an integral part of the team that acts as liaison between operations team, management companies and the broader LivCor Asset Management group.  They will be responsible for organizing and managing parts of large projects while promoting engagement of all internal/external stakeholders. As a project partner, they will be a strategic thinker that shares responsibility for ensuring projects stay on track and goals are being met.
The operations project coordinator is an articulate and clear communicator. The coordinator must communicate with various stakeholders on the project, as well as higher-level employees, to include senior managers and executive leaders. The coordinator should be highly organized, exceptionally detail oriented, with ability to meet deadlines and know how to develop reporting on the project. Will be able to attend regular meetings and give progress reports. Will have exposure to implementing and managing multiple projects at the same time. The operations project coordinator typically works in an office setting, however, not required. Coordinator could also visit or work on the property site(s) or in management group offices. This job may require more than 40 hours a week, depending on the project(s). The hours worked could also increase closer to project deadlines.

RESPONSIBILITIES:

  • Provides a bridge for smooth communication between operations and internal departments; demonstrating leadership to maintain credibility, trust and support with overall team.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting general correspondence, memos, and letters, and other tasks that facilitate team’s ability to effectively manage operations and operating partner relationships and projects.
  • Creates and edits presentations (PowerPoint and other).
  • Collects and aggregates data and information (Smartsheet and other).
  • Creates various surveys management and reporting
  • Prepare standard communications for POC communications; participate in Office Hours
  • Maintain project management software and other user access for multiple users/systems for internal and external partners (Asana and other)
  • Communicate with internal and external partners on progress and track feedback
  • Document management, update Resident and Operator correspondence
  • Work with operations team to produce recommendations for COQ/COY and OOY while building engagement and field level awareness; coordination of related awards/communications
  • Facilitates the efforts of the Operations team to support CoreGiving.
  • Assists in the preparation of packages and requests for information.
  • Works closely with Operations team to effectively keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • The right candidate will be an experienced professional with exposure to operational functions and have a passion for learning as well as the following:
    • Bachelor's degree preferred, or equivalent experience
    • Multifamily operations experience or related, required
  • Comfortable using software programs to process data and interpret the results through critical thinking
  • Support on-boarding of new Operators and team members while leveraging technology
  • Manage messaging on Good Owner Article Topics, Operator Newsletter, and Community Programming
  • Ability to generate job aides and collateral for Operators and Internal partners
  • Strong written and verbal communication skills; detail orientation. 
  • Collaborate at all levels, working with team members, senior management, and business owners to move projects forward.
  • Working in a fast-paced environment with changing deadlines
  • Engaged and collaborative team player with high energy and strong analytical thinking

QUALIFICATIONS

  • 1 year of experience in property management operations or related multifamily experience preferred
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, senior management, external parties.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Friendly and professional demeanor.
  • High energy with initiative and “we” mentality.
  • Heart with Smart.
  • Thorough knowledge of Microsoft applications and other general office equipment as well as project management software is preferred. Outlook experience preferred
