Due to business growth, we are hiring for a newly created role of Director of Operations in our Dallas office, supporting our significant Debt & Equity business line. This role will report to the COO (Chief Operating Officer) and is responsible for oversight and management of a broad range of operational responsibilities.  This role will work collaboratively with various business partners, including Marketing, Finance, Human Resources, and IT in our Minneapolis Headquarters with a dotted line reporting relationship to the Executive Managing Director of the Debt & Equity business.
 
Position Responsibilities include:
 
Operations Management:
Collaborate with regional offices to create and manage best practices that offer continued innovation to the Debt/Equity line of business:
  • Assist Leadership in fostering communication among the platform's regional offices and support departments
  • Track and Provide management reports with metrics that facilitate accountability and business improvement, identifying areas of opportunities ensuring the success of each regional office
  • Manage regional office quarterly meetings to discuss status in all areas, distribute meeting summary reports to executives
  • Tracking and reporting of deal conversion success rate for D/E offices with Investment Sales teams
  • Help coordinate office moves for new and existing teams; Standardize, review, and coordinate new office leases
  • Coordinate with space planning, technology infrastructure, and furniture orders
  • Manage and approve company subscriptions and partner with internal teams to drive adoption rates with our data providers
  • Track and report revenue, growth, and market share for business leaders
Marketing & Communications:
  • Oversight of the Debt/Equity platform events and conferences in conjunction with Marketing, including the development of the agendas and schedules
  • Assist and execute leadership communications
  • Provide support to new offices and teams with marketing templates and brand standards
  • Review and manage regional office email blasts in a marketing software system (Vuture), ensuring brand consistency across lines of business and offices
  • Coordinate and distribute national and regional market reports
Finance/Accounting:
  • Understand expense policy and compliance for the D/E regional offices
  • Coordinate and manage office expenses, budgets, and annual projections in conjunction with the F/A team
Technology:
  • Provide insight, support, and feedback on the CRM (Salesforce) platform to the IT development team and regional offices
  • Find solutions for challenges that arise with technology (website, Salesforce, Vuture, etc.)
  • Assist and coordinate equipment and training of new regional staff for D/E platform technologies
  • Provide and coordinate new technology releases within systems
Human Resources:
  • Review and approve regional office Staffing and Payroll Requests
  • Identify recruiting and office growth opportunities, generate job descriptions in coordination with HR; create candidate recommendation lists to target for recruiting
  • Conduct annual staff performance reviews for select regional offices
Position Qualifications:
  • Bachelor's degree in Business, Finance, Accounting, or Management area preferred
  • Minimum of 4 years of operational and process management experience
  • Strong Proficiency in MS Office required, and experience in a CRM (i.e., Salesforce)
  • Ability to independently achieve successful outcomes with minimal supervision 
  • Demonstrated ability to handle complex situations and multiple responsibilities simultaneously, mixing long-term projects with the urgency of immediate demands on the operations
  • Excellent communication and strong internal and external customer skills
  • Demonstrated ability to handle confidential information
  • Ability to be agile and take on new responsibilities as the business grows
  • This position requires up to 20% domestic travel
