Ensures that all Alarm.com employees are supported and have the resources needed to do their jobs effectively. Ensure that Alarm.com’s company culture and standards are reflected in the office space and level of customer service provided to all employees and guests.

RESPONSIBILITIES

The Facilities Administrator’s primary job responsibilities will include:

  • Offering outstanding customer service, both written and verbal to our customers (internal and external)
  • Responding/resolving employee requests for Facilities/Administrative support
  • Manage Service Now ticket system to help provide timely and tracked updates to incidents/tasks.
  • Ensure workspaces, conference rooms, and common areas are well maintained and fully operational.
  • Coordinates Training room preparation for classes, and events. Coordinates with admins, IT, and end users to ensure rooms configured correctly, AV is working properly, and building systems are operating to standards.
  • Provide backup support to reception, covering their duties, as required.
  • Manage facility service vendors relationship and onsite repair/service schedules
  • Vendor Management/Relations; Renewing contracts, obtaining quotes, scheduling repairs and maintenance.
  • Assist with ongoing renovations and build out projects.
  • General upkeep of common/public areas, and conference rooms, ensuring supply levels and equipment operation is satisfactory.
  • Working closely with Facilities and Office manager on facilities projects such as moves, small renovations, daily tours to ensure the office is in great condition.
  • Other Projects as assigned to frequently include filing, mailing, shipping, copying, etc.
  • Facilitating meetings by maintaining conference room schedules and tidying conference rooms.
  • Assisting with filing expense reports/vendor invoices and creating new files when necessary
  • Mailing invoices, checks and other correspondence.
  • Ensuring cost effective procurement of office supplies to meet the needs of the employee base.
  • Stays diligent in utilizing and maintaining ServiceNow request system for Facilities and Admin team, provides guidance and coordinates path to resolution for tickets assigned to both groups. Ensures timely communication to end users for progress updates and completion timeline. 
  • Assist with on-boarding and off-boarding duties as needed.
  • Assist with space planning, move management and scenario planning.

REQUIREMENTS

  • 3+ years working in a fast paced office environment, preferably in a Facilities related role.
  • High energy level and ability to prioritize competing requests
  • Outstanding interpersonal, communication, and customer service skills including a flexible and positive attitude
  • A very high degree of personal integrity including the ability to manage sensitive or confidential information
  • Strong organization skills and the ability to manage multiple processes and priorities at once
  • Strong technical skills including proficiency in Outlook, Excel, and Word, as well as proficiency using standard office equipment such as a copier, postage machine, fax, printer, and postage station
  • Experience with conference AV systems preferred
  • Ability to interpret contractors’ drawings/plans a plus.
  • Knowledge or understanding of subcontract trades and building systems a plus.
  • Ability to lift and handle packages or equipment up to 50 lbs.
  • Ability to communicate orally and in writing, in a clear and concise manner.
  • Ability to adapt to changing work requirements and priorities that require overtime or extended hours.
