POSITION SUMMARY  

Primarily responsible for training all Maintenance Engineers while performing all administrative and related functions as required. Director of Engineering will analyze property expenses and coach the onsite Maintenance Engineers on best practices to effectively control expenses while maintaining the properties to a high standard as directed by ownership. Provides information to management by assembling and summarizing data, preparing reports, and making presentations on findings. Negotiates all service contracts and national accounts to get the best pricing. Updates job knowledge by participating in educational opportunities and reading professional publications. Should be highly motivated, have a positive attitude, and be dedicated to being the best. Must always be on hand and ready to perform additional related tasks assigned to them. The candidate will assist with the management and supervision of employees who carry out property maintenance at multifamily properties.  Responsibilities include interviewing, hiring and training Maintenance Engineers.

DUTIES AND RESPONSIBILITIES  

Personnel
  • Responsible for maintenance safety initiatives including, but not limited to, monitoring of the monthly safety meeting reporting from the properties, reviewing the workman’s compensation claims with the human resources department, monitoring (and ensuring correction) with regards to property level OSHA, MSDS, EPA and protective equipment adherence and leading the quarterly safety meetings in assigned region
  • Ensure the maintenance teams maintain a safe working environment. Coordinate training and conduct training for all employees on safe procedures
  • Assists in developing, implementation and follow up of Company policies and procedures relating to maintenance operations, safety, and employee training requirements in their assigned region
  • Communicate and emphasize maintenance recognition programs in assigned region
  • Educate staff members on safety and control of materials. Inspect the Material Safety Data Sheets program at each community and ensure they are in accordance with OSHA
  • Responsible for initial training and onboarding new maintenance Engineers with on-site safety, maintenance practices, policies and procedures, expectations, ready product and condition inspections for all properties in their region. Assist Regional Managers with development of action plan to correct any and all safety related discrepancies in a timely manner. Follow-up with Regional Managers to insure timely correction of all safety related violations were completed. Ensure all maintenance Engineers have been properly trained in a timely manner upon new hire with a strong emphasis on company culture and the Reside Living way of managing properties
  • Assist Regional Manager in hiring, inspecting, counseling and promoting team members and if needed, terminating employees. All terminations must have prior approval of Regional Manager
  • Assist with establishing a team of qualified and trained employees who understand their responsibilities
  • Teach skills to onsite team members. Give instructions, inspect work, and schedule training as needed
  • Assist Maintenance Engineers, as needed, in setting priorities and scheduling work with a weekly calendar and Reside Livings approved systems
Vendor Relations
    • Negotiate all vendor pricing and contracts that pertain to maintenance expenses, service agreements, and capital expenses. Build relationships with reputable vendor representatives in order to help facilitate contract negotiations and improve the overall level of service provided by the vendor
    • Seek cost-effective maintenance parts and tool suppliers. Constantly monitor sources for best prices and quality
Maintenance Operations
    • Make regular visits to communities and perform inspections of the common areas and mechanical equipment for deficiencies and ensure the maintenance teams have the necessary knowledge and resources to properly maintain the property. Report any outstanding deficiencies or unsafe conditions immediately to the Regional Manager
    • Determine if work can be performed in-house using actual estimate work-ups and assign employees/ contractors to duties accordingly. Obtain bids for any additional work necessary from qualified outside contractors
    • Prepare specifications for work to be performed in-house or for contractors to bid on work. Obtain advice from consultants if necessary
    • Evaluate bids and oversee projects upon award to contractors including verification of adherence to specifications and senior management’s operating requirements
    • Assemble and analyze contract bids, and submit bids and written recommendations to superiors for action
    • Schedule preventive maintenance with the Maintenance Engineers and ensure compliance with Reside Living policy. Oversee the preventive maintenance for mechanical equipment, pools, parking lots, building exteriors, etc.
    • Coordinate and oversee capital improvement projects
    • Inspect the service request process at each community to ensure it’s in compliance with Fair Housing and Reside Living policy. Review Service Request survey responses to ensure satisfaction with work completed
    • Inspect the make ready procedure and ensure compliance with Reside Living, OSHA, and Fair Housing. Report deficiencies to Regional Manager
    • Continually educate staff on safe working conditions
    • Keep informed on all work safety issues including OSHA guidelines. Attend classes as approved. Constantly keep abreast of changes in law and practices
    • Monitor building systems with particular attention to electrical and fire safety
    • Be available to travel to a community to perform as an acting Maintenance Engineer or backup maintenance team member as needed
Miscellaneous
    • Coordinate and oversee property acquisition Due Diligence projects as needed
    • Schedule inspections with contractors, send out Requests for Proposal, and gather all pertinent information during the Due Diligence visit. Provide input on maintenance and capital expenses based on findings
    • Evaluate new acquisitions; administer physical due diligence of asset, write report on condition, plan for closing and staff requirements
    • Assist to set up maintenance shops on new management opportunities to ensure adequate safety equipment is in place and shop is organized for efficiency
    • Assists in implementing and monitoring strategic initiatives for maintenance operations
    • Assists in developing, implementation and follow up of Company policies and procedures relating to maintenance operations, safety, and employee training requirements
    • Support Regional Managers through follow-up, training and follow up on work orders, make-ready procedures and expense control when a property is under performing expectations
    • Support Regional Managers through constant communication and training and follow up on Satis-Facts surveys. Direct mentor resources as necessary to correct deficiencies in the region
    • Be available as necessary to help evaluate scope of work, vendor selection and/or pricing associated with small capital project
    • Attend annual CAA meetings for networking/recruiting purposes
    • Assist in special projects as needed (Due diligence, takeovers etc.)
Experience
  • Generally, a minimum of two years’ experience as a Director of Maintenance for a property management company with an additional minimum of two years onsite as a Maintenance Engineer
  • Must have experience managing multiple sites. Microsoft Office Suite including proficiency with Word, Excel, Power Point and E-mail
QUALIFICATIONS
  • Position requires leadership skills and the ability to deal well with people, communicate effectively both written and verbally, conduct training in a classroom environment or hands-on, and provide a high level of customer service. In addition, the position requires the following skills: working knowledge of grounds and maintenance equipment and ability to complete service requests by having knowledge of, but not limited to HVAC, electrical, plumbing, appliance, pools/spas, locks/keys, and painting/drywall
  • Excellent computer skills (proficient in Word, Excel, and Outlook) are necessary in order to create & complete reports, analyze data, and send & reply to emails
