Arch Companies is a privately held, vertically integrated real estate investment, development, construction, asset management and property management firm based in New York City and active across the United States. Arch Asset Management, a division of Arch Companies, is seeking a Director of Property Management.  The position will be based in our New York City headquarters and report directly to the head of Arch Asset Management.  The Director of Property Management will be responsible for the overall performance and all phases of property management for a portfolio of properties. Supported by on-site personnel, the Director of Property Management will oversee the preparation and implementation of operating budgets, the evaluation of budget performance, tenant improvements, capital improvements, maintenance and repair projects. Through close collaboration with the Arch Asset Management team, the Director of Property Management will assist with the coordination of company-wide initiatives and programs the further develop and build the Arch Asset Management purpose and mission. This person will interface with other Arch Companies’ divisions such as marketing, development, accounting, construction and finance as well as 3rd party vendors.

 

The candidate must have superior knowledge of commercial real estate, commercial facility maintenance practices, property management accounting standards and systems. The ideal candidate will be a self-starter, possess strong interpersonal and organizational skills, and will be highly communicative and responsive to calls and emails. A minimum of 5 years of commercial property management experience is required, as is regular travel.

Principal Duties and Responsibilities

Financial Responsibilities

  • Preparation and management of annual operating budget
  • Review, approve and code all A/P invoices
  • Receive and review budget variance reports
  • Review resident reimbursements – CAM, electricity, RUBS
  • Oversee Capital Expense projects, prepare estimate of costs and scopes of work
  • Oversee resident billing and delinquency reports
  • Supervise all property operations in conjunction with the approved budget
  • Review job cost reports to ensure projects are completed within budget
  • Prepare and submit all required financial reports in an accurate and timely manner
  • Work very closely with the Finance Department, on budgeting, tracking and reporting all items related to property level financials

Building Maintenance

  • Responsible for the physical upkeep and maintenance of the property
  • Manage and oversee property level personnel directly responsible for building services
  • Manage and oversee 3rd party contractors providing building services
  • Ensure building response protocols are in place for building emergencies (i.e. after hours, holidays)
  • Establish and review schedules and checklists of building maintenance items
  • Conduct regular building and property inspections
  • Identify energy consumption issues and/or reduction opportunities
  • Ensure OSHA compliance
  • Maintain quality standards set forth by management in the appearance and operation of the building
  • Implement work schedule for budgeted non-recurring and Capital Expense projects
  • Prepare specifications, bids and negotiate annual service contracts

Resident Relations

  • Oversee the timely collection of accounts receivable
  • Responsible for ensuring the highest level of customer service is provided to our residents
  • Maintain active resident contact and monitor service complaints
  • Perform annual resident manager meetings
  • Ensure property management manual is provided, understood and implemented by all property level personnel
  • Review and respond to annual resident survey results. Review with staff
  • Provide on-site personnel with guidance when necessary relating to resident disputes

Staff Supervision

  • Build property level teams relating to A/R, maintenance, leasing and management
  • Evaluate progress and potential of subordinates to remain and grow
  • Establish staff meetings and formulate ongoing work responsibilities / activities
  • Conduct annual employee performance reviews
  • Provide supervision, support, training and encouragement to immediate staff
  • Ensure staff engages in a friendly, efficient and resident-focused culture
  • Assist with the continuing development of the PM Operating Manual

General Administrative

  • Coordinate all newly executed leases with the leasing representatives
  • Provide market data related to lease escalations
  • Provide market analysis related to area sales and leasing comps
  • Review lease agreements
  • Ensure residents are in compliance with all provisions of their lease
  • Have a technological aptitude and general interest in promoting technology and system implementation
  • Maintain property information manuals
  • Maintain files of insurance certificates (contractors, residents)
  • Maintain files and records for building operations
  • Implement emergency procedures (i.e. fire, mechanical and / or electrical failures)
  • Provide written communication, as appropriate
  • Ensure that all company policies and procedures are implemented and adhered to
  • Inform supervisor of emergency incidents

                                                                       

Experience, Skills and Abilities Required

  • Minimum 5+ years prior relevant experience in commercial real estate property management
  • Minimum Bachelors’ degree in business administration or another similar field
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)
