Description
Provides crucial administrative support and business operations functions that directly impacts and assists in successfully driving business objectives for the professionals and leaders for VAS portfolio services.
Upholds CBRE's World Class Service within each interaction and support function including but not limited to Valuations & Advisory administrative services, supporting operations initiatives, and managing corporate processes for Portfolio Services.
Ideal candidate will have experience in supporting multiple Executive Level Leaders and/or successful Professional Teams within client-facing environments.
Responsible for coordinating the daily activities of client communication to different stakeholders, both internal and external.
Responsible for providing administrative support to leader of Portfolio for VAS line of business.
Responsible for maintaining client deliverables, coordinating portfolios, ensuring the data and reports involving multiple offices/regions.
Coordinates the timely entry and processing of standard AP transactions such as vendor invoices and expense reports.
Codes and allocates expenses within appropriate system such as PeopleSoft.
Researches vendor invoices and payment inquiries.
Reviews and enters standard agreements and/or transactions such as: listing, management, valuation, leasing and sales into appropriate system (e.g. PeopleSoft, MTA, VAS, I-track, etc.).
Creates corresponding file(s) that is compliant with company and state requirements.
Assists other departments in obtaining necessary verifications from sales professionals on various contingencies in order to adhere to the Company's revenue recognition policies.
Prepares billing requests for non-transaction items such as client marketing reimbursement and/or employee reimbursement.
Maintains property signs inventory. Orders installation and removal of all property signs for the office.
Other duties as assigned.

High school diploma or general education degree (GED) with a minimum of two years of related experience and/or training.
Ability to successfully coordinate portfolios involving multiple offices and regions is highly desired.
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
Ability to effectively present information to an internal department and/or large groups of employees.
Ability to write routine reports and correspondence.
Requires basic knowledge of financial terms and principles.
Ability to calculate simple figures such as percentages.
Ability to understand and carry out general instructions in standard situations.
Ability to solve problems in standard situations.
Requires basic analytical skills.
OTHER SKILLS and/or ABILITIES
Intermediate skills with Microsoft Office Suite products such as Word, Excel, Outlook, etc.
Knowledge of Financial software systems (e.g. PeopleSoft, MTA, VAS and I-Track).
Possess a high attention to detail, ability to prioritize and organize in a fast paced environment.
Decisions made with general understanding of procedures and company policies to achieve set results and deadlines.
Errors in judgment may cause short-term impact to co-workers and supervisor.
